We are seeking a proactive and highly organized Administrative Assistant to support our Operations team. This role goes beyond traditional administrative duties—we’re looking for a strategic partner and critical thinker who can anticipate needs, streamline processes, and help ensure the smooth day-to-day flow of operations.
The ideal candidate is detail-oriented, adaptable, and confident in managing multiple priorities while contributing ideas that improve efficiency and effectiveness.
Key Responsibilities
- Provide comprehensive administrative support to the Operations department
- Coordinate and manage calendars, meetings, and internal communications
- Prepare reports, presentations, and operational documents
- Assist in tracking projects, deadlines, and key deliverables
- Identify opportunities to improve processes and workflows
- Act as a liaison between departments to ensure alignment and follow-through
- Maintain organized records, files, and documentation
- Support budgeting, invoicing, and basic financial tracking as needed
- Help plan and coordinate team meetings, events, and initiatives
- Handle confidential information with professionalism and discretion

Monday - Friday 8 - 4pm
Pay
$28-$30/hr

Available after 6 months of employment and 500 hours worked:
- 401k, Employer will match at a rate of 1.5, capping at a total of 9% match.
- Examples:
- If the employee contributes 3%, employer will contribute 4.5% for a total of 7.5%
- If the employee contributes 6%, employer will contribute 9% for a total of 15%
- If the employee contributes 7%, employer will contribute 9% for a total of 16%
- Quarterly Enrollment: January 1st, April 1st, July 1st, October 1st
- Must be employed 6 months before you can be enrolled and work 500 hours.
- 100% vested after 6 years of employment
Licensing and Certification
- Associate’s or Bachelor’s degree preferred (or equivalent experience)
- 2+ years of administrative or operations support experience
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)

Work Environment and Physical Demands
Work Environment:
- Primarily in a professional office environment at EJ Water Cooperative’s Dieterich location.
- Routine use of standard office equipment such as computers, phones, printers, and copiers.
- Regular interaction with both office and field staff.
- Fast-paced environment requiring the ability to manage multiple priorities, adapt to changing needs, and maintain organization in a dynamic setting.
- Occasional interruptions and shifting deadlines are expected.
Physical Demands:
- Prolonged periods of sitting at a desk and working on a computer
- Frequent use of hands and fingers for typing, writing, and operating office equipment
- Occasional standing, walking, bending, or reaching
- Ability to lift and carry office materials up to approximately 20 pounds
- Ability to communicate clearly, both verbally and in writing
